How to write a resume in 2026: recruiters give it 6–8 seconds — a complete guide with examples and a checklist

November 3, 2026

A recruiter spends only about 6–8 seconds on the first look at a resume, so in 2026 a good resume is short, specific and written for one particular vacancy. This guide shows how to write a resume step by step — structure, wording, examples for people with and without experience, the most common mistakes and a checklist you can use before pressing "Apply".

What employers want to see in a resume in 2026

Ukrainian job boards and recruiters repeat the same advice. Work.ua writes that employers do not need creativity or long descriptions of duties; Spilno Agency and TheLadders-based publications put the first glance at roughly 6–8 seconds. In that time the recruiter looks for four things:

  1. Who you are professionally — the position you apply for, in the heading.
  2. Where you worked and how long — the last two or three places.
  3. What you achieved — a result, not a list of duties.
  4. How to reach you — a working phone and a professional e-mail.

Resume structure that works

1. Heading: name and the target position

Write your full name and, under it, the position you apply for: "Sales manager", "Warehouse operator", "Accountant (primary documents)". A resume titled "Resume" or "Job search" tells a recruiter nothing and loses the seconds you have.

2. Contacts

  • Phone with a messenger you actually use.
  • A professional e-mail of the type name.surname@... — Ukrainian HR portals list a silly or outdated address among the typical mistakes.
  • City or district. People often search for work near home, so the location matters for retail, logistics and services; on TrueExpert it is also used for the map search.
  • Links to a portfolio, LinkedIn or GitHub — only if they are relevant and up to date.

3. Short summary (2–3 lines)

Say who you are, how long you have worked in the field and the main strength. Example: "Accountant with 5 years of experience in retail: primary documents, payroll, tax reports in Taxpayer's Office. Cut month-end closing from 7 to 4 days." No clichés like "responsible, stress-resistant, sociable" without proof.

4. Experience: results, not duties

For each job write the company, position, period and 2–4 bullet points. Use the formula action + what + result:

  • weak: "Responsible for sales";
  • strong: "Sold home appliances in a store of 40 employees; fulfilled the monthly plan 11 months out of 12".

Use numbers where honest numbers exist: the amount of customers, the size of the team, the time saved, the percent of plan. If you do not have numbers, describe a concrete task and what changed after it.

5. Education and courses

One or two lines. For a beginner this section moves higher; for a person with several years of work it goes below experience. Add only courses connected with the vacancy.

6. Skills

List tools and abilities you can demonstrate: software, equipment, driving licence categories, foreign languages with a level. Work.ua advises supporting soft skills with experience instead of listing adjectives — "led a shift of 6 people" says more than "leadership".

Tailor the resume to every vacancy

One of the most common mistakes named by job portals is sending the same resume everywhere. A five-minute adaptation brings the most benefit:

  1. Read the vacancy and underline the requirements.
  2. Move the matching experience to the top and use the same words as the ad (for example "warehouse accounting" instead of "working with goods").
  3. Remove what is not related to the vacancy.
  4. Match the heading with the exact job title.

If you look for work in two directions — for instance as a cashier and as an administrator — create two separate resumes. On TrueExpert you can keep several resumes in your account and pick the right one every time you apply.

Resume with no experience

Nearly half of the ads on Work.ua already accept candidates without experience, so a beginner's resume is a normal thing. What to put in instead of a work history:

  • education and practical training, a diploma or course project;
  • volunteering, helping at an event, family business, seasonal or informal work — any case where you carried responsibility;
  • skills you really have: Excel, driving, languages, ability to work with customers;
  • a clear sentence about motivation: why exactly this profession and what you are ready to learn.

Resume for a career change

Start with a summary that explains the move: "Moving from retail to logistics: 6 years of working with goods and customers, warehouse accounting course completed". Put transferable skills (customer service, inventory, teamwork, equipment) before the job titles.

Design and format

  • One page for most people, two at most for experience of ten years and more.
  • Simple font, enough white space, clear headings; no photos in heavy frames, bright colors or tables that break in a browser.
  • Save as PDF if you send a file, and name it clearly: "Surname_Position.pdf".
  • Check the text on a phone: many recruiters open resumes there.

The most common resume mistakes

  1. An unclear or missing target position.
  2. A list of duties with no results.
  3. Embellished experience or skills — Work.ua directly advises against it, and it is verified at the interview.
  4. One universal resume for all vacancies.
  5. Typos and mixed languages; read the text aloud before sending.
  6. An unprofessional e-mail address or a phone that is never answered.
  7. Too much text: three pages for three years of work.
  8. Outdated information and old dates.

Checklist before you send

  • The heading contains the exact position.
  • The first third of the page contains the main match with the vacancy.
  • Every job has at least one result.
  • The contacts are correct and the phone is switched on.
  • There are no mistakes; a friend has read it.
  • The file is small and opens on a phone.

FAQ

How long should a resume be?

One page is enough for most people; up to two pages if you have ten or more years of relevant experience.

Should I add a photo?

It is optional. If you add one, use a neat, neutral photo; for many jobs a resume without a photo is accepted equally well.

How to write a resume if I have a gap in work?

Do not hide it. One line is enough: "2024–2025 — caring for family / relocation / retraining", and then show what you did in that time, such as courses or temporary jobs.

Can I have several resumes?

Yes. On TrueExpert you can create a separate resume for every direction and choose which one to send with each application.
